Area Email Change Form

Email is provided by the Western Washington Area for the DCM's, Alternate DCM's, Elected and Appointed Area Trusted Servants, our Past Delegates, and our Pacific Region Trustee. 

The purpose of the area provided email is two fold.  It provides continuity in contact information for members in the area, to contact the trusted servants regardless of who the person is in that position.  It also provides anonymity in several ways.  Personal email addresses are left out of the communication system thus maintaining the security and confidentiality of those members at the public level as well as the humility of serving with no personal recognition.

This form is used to apply for or change those email addresses.

1. Purpose of this form Submittal:   This is used to let the Webmaster know the purpose of the form submittal and how to best use the information received to  give you the results in a timely and accurate way.

  1. Set up a new area email account: This is used when no existing account is in place for your service position in your District or the Area.  The two District service positions that have email accounts at the area website are District Committee Member and Alternate District Committee Member. If you are not sure if there is an existing account use this selection. 
  2. Change current Area Email Account: This selection is used to indicate a need to change some information in an existing email account.  This could be a change in the personal email account  it is forwarded to, type of account used, or password on an existing account.
  3. Change current Area Email Account to new user: This selection is to indicate that a new user will be taking over an existing account.  This would be used due when the person in the service position using the account changes.  An example would be at rotation when the new person takes over the position.  One of the advantages of the area account is the use of the same email address no matter who is in the position.  This form and this selection should help to speed that transition. 
  4. To obtain more information about Area Email Accounts: This selection is used to request more detailed information about the area email accounts.  You will be contacted so that a dialog via email can be set up to provide you with that information.  Many members have had questions about the accounts, who can use them, how they are used,  and some are just curious, the Webmaster will be grateful to answer any questions you might have about the accounts.

2. Please provide the following contact information: This is used to provide information so the Webmaster can contact you the submitter regarding the changes and or setting up an account. If this is being changed to a new user this information would also be used as an aid in verifying with the current user the validity of the change.

  1. Name: This is used to allow the cordial use of a name in correspondence as well as part of the verification process is used to identify the person requesting a change
  2. Home Phone: This information is used in the event contact must be made over the phone or if needed to allow better faster communication on the matter.  This is also another aid in verifying the person making the request is in fact the the person with the existing account.
  3. Area Email: This would be the current area email account if the person submitting the request currently has an area email account.  This is used to avoid possible confusion on the account to be changed or transferred to a new user.  If you do not have a current area email account leave this blank.  The next question 3 will be used for your email contact that is not through the area email system.

3. Alternate submitters contact email not through the Area email account: This is an email account that is not the area account used to contact the person submitting the request form.  If the person submitting the request did not have an area email account this would be the contact email.  If the person submitting the request has an area email account this would be an alternate means of contact if needed to work on, setup, or change the current area email account.

4. Your District number if applicable: This would be the Western Washington Area 72 District that you are a trusted servant, if you are using this email account for that district position.  If you are using or setting up the email account as an area trusted servant you could put 0 (zero) or leave this blank.  This information is another means of separating your request from the over one hundred accounts handled by the Webmaster.

5. What service position will the email be used for: The selections here cover the common service positions that are provided email accounts on the area website.  Your selection of the service position is used to aid the Webmaster setting up the email as well as verification of the person submitting the request. 

Other in this selection covers the few accounts the area provides that are not covered under other selections.  Examples of this are the Area Bridge Coordinator, Area Bridge the Gap Coordinator, and the Area History Book accounts.  If you fall into this category please check Other. If you selected other please give details in the text box following this section on the form.

If you checked other service position please explain: There are a few other service positions that the area does provide email addresses for.  If you are in one of these positions please describe that position in this text box.  If you are not in a position that is currently provided an area email account and think you should have one provided please explain the position and reason you believe the area should provide an account.   Bearing in mind that such accounts are for area business only, and that they add to the workload of the area Webmaster.

 

 

If the account is changing to a new user that persons contact information: This is the contact information used in setting up the new account user.  This information will be used to set up contact and verification with the new account holder.

 

 

Type of email account you would like to change to or set up:  This one gets a little complicated.  Each type will be explained to help aid in your decision about what will work best for you.

  1. POP3 Account :  POP3 (Post Office Protocol 3) is the most recent version of a standard protocol for receiving e-mail. POP3 is a client/server protocol in which e-mail is received and held for you by your Internet server. Periodically, you (or your client e-mail receiver) check your mail-box on the server and download any mail, probably using POP3. This standard protocol is built into most popular e-mail products, such as Eudora and Outlook Express. It's also built into the Netscape and Microsoft Internet Explorer browsers.

Many find this to be any easy way to get their mail.  They run their regular email program such as those listed above. They start the program and it goes out to check the email in their regular personal account it retrieves that mail then goes on to check any additional POP3 email accounts and download them as well.  The advantage is you can receive and send your email from all accounts at one time using one email program.  Mail sent to you using the area email account and replied to would have your area email address as the return address.  You could also when composing and sending email select the area address for area business and select your personal address to send personal email.

 

  1. Forward to my personal email only: This option will forward any mail received at your area email address to be forwarded to your personal email account.  This is probably the easiest most trouble free method.  The email sent to you account will come to you when you get your regular email.  The down side to this is when you reply you would have to use your personal account thus eliminating the anonymity.  You could evaluate the risk or problems that might be involved with such transactions on a case by case basis.

 

  1. Forward to my personal account with web based account reply: This option would use the forward email to receive the area email described in item two above and use the web based  email system on the area website to reply.  Some find this a convenient way to  receive their email only logging onto the web based email to reply anonymously.

 

  1. Web based account only: This choice uses a web based email program similar to other popular ones around.  You go to a web page www.area72aa.org/up and log in with your username and password.  This gives you access to your web email account where you can check your area email and send it.  This has the advantage to even being used even if you have no computer.  You could use any computer connected to the internet.  This could be done using friend or family computer or at internet cafes or public library.  The downside is how much space could be taken up with undeleted email or spam mail.  If you have one of these accounts please try to keep it tidy to limit our cost for storage.

Password:  These boxes are used to send the password you would like to use to set up the account.  This can also be used in the event you have lost your password.  Passwords when lost can not be retrieved only replaced.  The second box is used to insure you input the same information twice and there was no typo.  Any time a password is changed there will be a check to insure it is the owner of the account changing the password.

Passwords should contain only letters(a-z), numbers(0-9), underscore(_), dot(.) and hyphen(-) For security reasons, password needs to be at least 6 characters
